The administrative assistant may also work independently on projects, from conception to completion, and must be able to work under tight timelines to handle a wide variety of tasks, often working on more than one project at a time.
The ideal candidate has a high attention to detail, is extremely organized, and can multitask in a fast-paced environment.
The Administrative Assistant will report to three or more members of our Leadership Team including Accounting, Clan Lab, and Human Resources.
This position requires a high level of confidentiality and integrity.
Spanish speaking is preferred but not required.

Essential Duties and Major Responsibilities Completes a broad variety of administrative tasks, for several service lines including Clandestine Lab, Accounting and Human Resources.
Tasks will include scanning, assisting with electronic file management, managing an active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging national and international travel plans, and sending itineraries to the team.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Leadership Team, including those of a sensitive or confidential nature.
Works closely and effectively with the Leadership Team to keep them well informed.
Successfully completes critical aspects of deliverables with a hands-on approach, including PowerPoint presentations, spreadsheets, organization charts, correspondence and other tasks that facilitate the Leadership Team's ability to effectively lead the company.
Supports miscellaneous projects, client partner engagement opportunities, and events, as requested.
May be responsible for reservations, and hotel accommodations as needed for business travel.
Manage needs of corporate office including arranging repairs and maintenance, oversee management and maintenance of copiers, printers, and other office equipment.
May also coordinate with vendors and order supplies for the office.
Manage company's celebrations - holiday parties, employee appreciation lunches.
Answer incoming phone calls, send cards for birthdays and anniversaries and assist with maintaining electronic files.
Assist with other duties as assigned.
Specialized Knowledge, Skills, and Abilities Advanced knowledge of Microsoft Office to include Word, Excel, Outlook, and PowerPoint.
Ability to learn quickly, adapt, and pivot to accomplish tasks or projects.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Ability to work with team members that work both in the office and remotely.
Strong interpersonal skills and the ability to build relationships with all levels of the organization and external customers.
Expert level written and verbal communication skills.
Ability to prioritize conflicting needs with deadline pressures; complete tasks quickly and efficiently; following through to ensure successful completion.
Proactive approaches to problem-solving with strong decision-making capability.
Proven ability to handle extremely confidential information with discretion and demonstrate the highest level of customer/client service.
Spanish speaking is preferred.
Experience 3-5 years of experience in a fast-paced environment supporting a Leadership Team is preferred.
Education High School Diploma or equivalent required.
Associate or bachelor's degree in business, Communication or another related field preferred.
Wage:
Salary Range:
$20.
71 to $27.
